ParcelAdvisor Privacy Policy

This Privacy Policy (“Policy”) describes how ParcelView LLC, a Washington limited liability company doing business as ParcelAdvisor ("ParcelAdvisor," "we," "us," or "our"), collects, uses, and shares information in connection with the ParcelAdvisor platform, websites, and related services (the "Service").
ParcelAdvisor is a business-to-business service. We process information about the personnel of our business customers and the shipping data they submit. The Service is not directed to consumers or to individuals under 18.
1. Information We Collect
Account Information. Name, business email address, job title, company affiliation, and login credentials for authorized users of the Service.
Customer Data. Our business customers submit data to the Service for analysis, including carrier contracts, shipping invoices, shipment records, and related logistics documents ("Customer Data"). Customer Data may incidentally contain personal information such as recipient names and delivery addresses appearing in shipment records. We process Customer Data on behalf of and at the direction of our customers. Customer retains all right, title, and interest in and to Customer Data. To the extent Customer Data contains personal information, Customer acts as the data controller or business, and ParcelAdvisor acts solely as a data processor or service provider, processing such information only on Customer's behalf and in accordance with Customer's instructions as reflected in this Policy and the functionality of the Service.
Usage and Device Information. When you use the Service, we automatically collect technical information such as IP address, browser type, device identifiers, pages viewed, features used, and timestamps. We use cookies and similar technologies to operate the Service, maintain sessions, and understand usage. We use cookies and similar technologies to operate our website, analyze usage, improve performance, and enhance user experience.
The types of cookies we may use include:
- Essential Cookies – Necessary for website functionality, security, and user authentication.
- Analytics Cookies – Used to understand how visitors interact with our website and improve our services.
- Preference Cookies – Used to remember user settings and preferences.
- Advertising Cookies – If used, these cookies help deliver relevant advertisements and measure campaign effectiveness.
Our website may use third-party analytics providers, including Google Analytics, to collect information about website usage. Google Analytics may collect information such as pages visited, browser type, device information, and approximate geographic location. 2. How We Use Information
We use the information we collect to:
- provide, operate, secure, and maintain the Service;
- analyze Customer Data and generate the reports, alerts, and insights the Service is designed to deliver;
- authenticate users and manage accounts;
- respond to support requests and communicate about the Service;
- monitor, troubleshoot, and improve the performance and functionality of the Service;
- produce de-identified or aggregated analytics and benchmarks that do not identify any customer or individual;
- comply with legal obligations and enforce our agreements.
We do not sell personal information, and we do not use Customer Data for advertising.
3. Artificial Intelligence Processing
Portions of the Service use machine learning and large language model technology to analyze Customer Data and generate insights, summaries, and recommendations, such as parsing uploaded carrier contracts and invoices and producing analytics. We use AI only for these inference tasks. We do not use Customer Data to train, fine-tune, or improve any AI model.
We process Customer Data only through enterprise-tier AI services hosted in the United States, currently Microsoft Azure OpenAI Service and Google Cloud Vertex AI, under agreements that include confidentiality and data protection commitments. We do not use consumer or free-tier AI products to process Customer Data, and our AI providers are not permitted to use Customer Data for their own purposes or to share it with other customers. We configure these services to limit data retention by the providers, and Customer Data is not retained by them beyond limited periods that may apply for security and abuse-monitoring purposes. Our current AI subprocessors are identified in the subprocessor list referenced in Section 4.
Where the Service uses retrieval-augmented generation, derived artifacts such as vector embeddings are stored only within the customer's environment, are not shared with the AI providers, and are deletable on request. Customer Data remains owned by and under the control of our customers at all times.
4. How We Share Information
We share information only as follows:
Service Providers (Subprocessors). We use third-party providers to operate the Service, including cloud infrastructure and hosting providers, database and analytics infrastructure, AI/LLM providers, and communications and support tools. These providers process information only on our instructions and under appropriate contractual protections. A current list of subprocessors is available on request at Joseph@parceladvisor.ai.
At Customer Direction. We share information when an authorized customer administrator directs us to, such as integrations with third-party systems.
Legal Requirements. We may disclose information if required by law, regulation, legal process, or governmental request, or to protect the rights, safety, or property of ParcelAdvisor, our customers, or others.
Business Transfers. In connection with a merger, acquisition, financing, or sale of assets, information may be transferred as part of that transaction, subject to customary protections.
5. Data Security
We maintain administrative, technical, and physical safeguards designed to protect information against unauthorized access, disclosure, alteration, and destruction. These include encryption in transit, access controls, and logical separation of customer environments. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. Further, Customer acknowledges that no security measures are perfect and Customer assumes responsibility for maintaining backups of Customer Data.
6. Data Retention
We retain Account Information for as long as the account is active and as needed for legitimate business purposes. We retain Customer Data for the duration of our agreement with the applicable customer and thereafter as specified in that agreement or as required by law, after which it is deleted or de-identified.
7. Your Choices and Rights
Authorized users may access and update their account information through the Service or by contacting us. Depending on your jurisdiction, you may have rights to access, correct, delete, or restrict the processing of your personal information. Because we process most personal information on behalf of our business customers, we may direct requests concerning Customer Data to the relevant customer, and we will assist that customer in responding as required by applicable law. 8. International Transfers
We are based in the United States and process information in the United States. If you access the Service from outside the United States, you understand that your information will be transferred to and processed in the United States, where data protection laws may differ from those in your jurisdiction.
9. Changes to This Policy
We may update this Policy from time to time. Material changes will be indicated by updating the Effective Date above and, where appropriate, by notice within the Service. Continued use of the Service after changes take effect constitutes acceptance of the updated policy.
